Leave Management, Modernised

Why Modern Leave Management Matters
Irish employers have clear obligations around annual leave, public holidays and statutory leave. Records must be accurate, consistent and ready to produce during a WRC inspection. But for many SMEs, the way leave is managed day-to-day makes this harder than it needs to be.
The HRLocker SME HR Report 2025 highlights three core challenges:
1. Leave management takes up too much time
SMEs spend an average of 15.8 hours a month managing leave. That’s almost two full working days. With an average 33 requests to process each month, even small inefficiencies add up quickly.
Manual steps like updating spreadsheets, checking balances, cross-referencing calendars and chasing approvals all contribute to the workload. Most teams say the process works, but it’s heavier and more time-consuming than it should be.
2. Manual processes increase the risk of errors
Nearly a quarter of organisations report error-rework rates above 5%, and a further third fall into the 3–5% range.
These errors often come from:
- Out-of-date balances
- Conflicting or missed approvals
- Duplicate entries
- Misapplied public holiday entitlements
- Gaps in statutory leave records
- When information lives in multiple places, it’s harder to keep everything aligned, especially during busy periods or when teams are dispersed.
3. Compliance confidence is low
Three-quarters of SMEs don’t feel ready for an unannounced WRC inspection. This isn’t because records don’t exist, it’s because they’re often scattered across spreadsheets, emails and shared drives, making them harder to produce quickly.
Leave and absence records are one of the most common areas where SMEs feel exposed. With more statutory entitlements now in place, keeping everything consistent and audit-ready has become more complex.
What Irish Employers Must Track
Irish employers must keep clear, accurate leave records that can be produced quickly during a WRC inspection. The requirements aren’t complicated, but they do rely on having consistent information in one place (something that becomes harder when processes are manual or spread across multiple tools).
The core records every employer needs to maintain:
- Annual leave records, including entitlements, applications, approvals, balances, and carryover.
- Public holiday entitlements, including dates, eligibility and Section 21 outcomes.
- Statutory sick leave, including sick days taken, medical certificates, sick pay calculations, and eligibility.
- Family leave records, including Maternity, Paternity, Adoptive, Parent’s, Parental and Force Majeure Leave.
- Work Life Balance Act records, including Domestic Violence, Medical Care, Breastfeeding Breaks, Flexible and Remote Working requests, decisions and reasons.
The Benefits of Modern Leave Management
Modernising leave management isn’t about changing how your organisation works. It’s about reducing the manual steps, keeping information consistent and giving everyone a clearer view of what’s happening across the organisation. When leave is recorded and approved in one place, the process becomes easier for managers, employees and payroll.
Less admin and fewer manual updates: A connected system removes many of the repetitive tasks that slow teams down. Balances update automatically, requests flow through a single process and managers have the information they need without searching through emails or spreadsheets.
More accurate records: When leave is logged at the source, the information stays consistent. Annual leave, public holidays and statutory leave are all recorded in the same place, reducing the risk of outdated balances, duplicate entries or missed approvals.
Better visibility for managers and teams: Clear calendars and dashboards help managers see who is off, who has upcoming leave and where potential clashes might occur. This makes day-to-day planning easier, especially for hybrid or dispersed teams.
Stronger compliance confidence: Accurate, centralised records make it easier to meet statutory requirements and respond quickly during a WRC inspection. All leave types are stored securely with clear histories of what was requested, approved and taken.
Smoother payroll processing: Clean, consistent data means payroll receives the right information the first time. There’s less need for corrections, clarifications or last-minute adjustments.
A better experience for employees: Employees can see their balances, request leave and track approvals without needing to email HR or managers. This improves transparency, reduces delays and helps people plan their time off with confidence.
How HRLocker Helps
HRLocker brings every type of leave into a single, connected system, giving organisations a clear, consistent way to manage time off from request through to record-keeping.
Structured leave requests and approvals. Employees submit leave requests online, and managers approve them with full visibility of balances and team calendars. Every approval is logged automatically, and balances update in real time.
Customisable leave types for every organisation. Annual leave, sick leave, parental leave, bereavement, TOIL and other statutory or company-specific leave types can all be configured to match your policies, ensuring every type of leave is recorded consistently.
Automatic TOIL and overtime tracking. When overtime is logged, TOIL balances update automatically, removing the need for manual calculations and keeping everything aligned with your organisation’s rules.
Recurring leave for regular absences. For employees with repeating patterns, like weekly appointments or scheduled half-days, recurring leave can be set up once and applied automatically.
Certificate and document uploads: Employees can upload medical certificates or supporting documents directly to their leave record. Everything stays attached to the correct entry, making it easy to reference later.
Clear calendars and dashboards. Managers and employees can see who is off, upcoming absences and remaining balances through visual dashboards and the Who’s Off calendar. Leave types are colour-coded for at-a-glance insights.
Simple manual adjustments when needed. If a balance needs to be corrected, for example, after a contract change or carryover, adjustments can be made quickly, with a clear record of what was changed and why.
Reporting and analysis in one place. HRLocker provides detailed reports on leave usage, absence trends and working time patterns, helping organisations plan resources and demonstrate compliance when required.
All leave data stored securely in one system. Annual leave, sick leave, TOIL, public holidays and statutory leave are all managed within the same platform, reducing the need for spreadsheets or multiple tools.
